The technical data sheet has changed: how should existing closure orders be managed?

A newer PDF does not necessarily mean the product has changed. Compare the previous and new data sheets, link the differences to open orders, stock and inspection records, and document the transition decision.

Start with this question: has the document changed, or the product?

When a supplier sends a new technical data sheet, revising every order should not be the first decision. First identify the field that has changed and the reason for the change. A typographical correction, a dimensional tolerance revision and a switch to a different sealing component do not call for the same assessment. Equally, an unchanged product code does not, by itself, prove that every technical specification remains the same.

The steps below are a suggested working method for purchasing, quality and production teams; they are not an announcement of a change to a particular Peksan product. Our separate guide covers initial sample approval. This article focuses on handling open orders when a document or product changes after approval.

Base the comparison on the changed field, not the filename

Record the product code, variant, document number, revision and date from the previous and new files side by side. For each changed field, note the previous value, new value, unit, reason for the change and the product or application identified as affected. Keeping only the new file and deleting the previous one leaves uncertainty about the information on which an earlier order was based. Retain the previous version as evidence for past orders, while preventing its accidental use for current work.

The new publication date may differ from the date the change takes effect in production. Ask the supplier to state in writing which production lot, shipment or order marks the start of the transition. If no date or lot is given, do not fill the gap with an assumption. ISO 10007 addresses change control as part of configuration management. [S1]

Use four decision areas within a single change record

Document correction: If only wording or the presentation of a drawing has been corrected, obtain confirmation that the physical product and acceptance requirements have not changed. Once this is verified, decide which records need updating; do not automatically repeat every test simply because the revision number has increased.

Dimension, tolerance or interface change: Identify the characteristics to compare against the bottle neck drawing and possible effects on the existing capping equipment. Agree the scope of the relevant measurements, assembly checks or line trials with the technical team. A tighter tolerance in a document does not demonstrate that all existing products have been inspected against it.

Material, liner or foil change: Clarify which component has changed and the conditions of use. With the responsible teams, assess whether existing compliance documents and acceptance work cover the new composition. Previous leak test results or compliance documentation should not be carried over to the new composition without explanation.

Carton or packaging change: Reconcile the quantity to which the unit price applies, the number of units per carton and the outstanding order quantity. If pallet or shipment planning is affected, verify the relevant information as well. Do not assume that the closure geometry has changed merely because the packaging has changed.

Do not force existing stock and new production into one transition decision

Create separate entries for open orders, products already prepared at the supplier, shipments in transit and your own stock. Each entry should show the quantity, lot or order identifier, applicable technical version and action to take. If the link between lot and revision has not yet been established, mark the relevant product for assessment; do not infer its version from the delivery date alone.

For example, following a tolerance change, an order that has not yet been produced might be made to the new version, while existing stock may need a separate assessment. This hypothetical example does not imply automatic rejection or acceptance of stock. Decisions to use, inspect further, segregate or return products should be based on the effect of the change and the parties’ written agreement.

Record why a recheck is needed and the evidence used to close the change

For each difference, add the affected function, the check to perform, the acceptance criterion, the responsible person and the results record. If no recheck is needed, record the reason as well. Numerical limits, sample quantities and test conditions should be agreed for the application; no universal torque, pressure or temperature value is recommended here.

An example decision record could contain these fields: change identifier; product and component; previous and new revision; affected lots and orders; required checks; results; lot or date at which the transition begins; and decision approvers. Do not enter ‘acceptable’ in an empty field before results are available. ISO 10013 provides guidance on developing and maintaining documented information used in quality management. [S2]

Which files should accompany a quotation or order discussion?

In your request to Peksan, specify the full product code, the data sheet you hold, the version to compare, the bottle neck drawing and any orders that could be affected by the change. This article does not state that the product has been revised or approved for use with a particular bottle. [P1]

Ask for the following answers in a single email: exactly what has changed, from which lot or order it applies, what is recommended for existing stock, and which checks or documents need to be completed.
